Hotel Booking Terms & Conditions
During the online booking process guests will be asked to provide a valid credit card to the hotel to guarantee their stay. Failing to provide valid credit cards details and to agree with the terms and conditions mentioned below, the booking CANNOT be finalised.
No charge for the accommodation will be made at the time of the reservation.
The full balance of the individual reservation will be charged by the hotel to the guest’s credit card 30 days prior to arrival, or by 16 August 2026 at the latest.
- Reservations can be cancelled up to 30 days prior to arrival free of charge.
- After then, the booking becomes FINAL, non-refundable nor modifiable.
- Therefore, late cancellation, shortened stay (late arrival or early departure), modification or no show are not allowed, and full accommodation charge will apply on the provided credit card.
We strongly recommend that you register and book your accommodation as soon as possible, preferably before 28 April 2026; please note that after 14 July 2026 bedrooms availability cannot be guaranteed.
From 16 August 2026 reservations will be considered FINAL; in case of total or partial cancellation after then, guests will be charged for the whole reserved stay.
We therefore strongly recommend finalising your travel arrangements and the dates of your stay within this date in order not to incur in cancellation fees.
INSURANCE
FICPI SHALL NOT BE HELD RESPONSIBLE FOR CANCELLATION OF YOUR ATTENDANCE AT THE 23RD OPEN FORUM FOR ANY PERSONAL REASON; INCLUDING WITHOUT LIMITATION HEALTH OR COVID-RELATED REASONS. NO EXCEPTIONS TO THE REFUND POLICIES SET FORTH HEREIN WILL BE MADE. THIS INCLUDES THE NON ISSUANCE OF VISAS.
YOU ARE ADVISED TO OBTAIN SUITABLE PERSONAL TRAVEL INSURANCE, INCLUDING COVID COVER, IN CASE YOU NEED TO CANCEL YOUR ATTENDANCE AT THE MEETING(S) FOR ANY REASON.
DISCLAIMER
All reasonable endeavours will be made to hold the FICPI 22nd Open Forum and to present the programme as set forth on this website in a manner to assure the comfort and safety of the attendees.
However, neither FICPI, nor the organisers, nor any of FICPI’s or the organisers’ representatives or agents shall have any liability to any person as a result of cancellation or change of all or part of the meeting or any of the arrangements, programmes or plans connected therewith or any loss, injury, damage or inconvenience which may be suffered by any person while travelling to or from the meeting, or during such person’s presence in Spain in connection with the meeting.
Participants are advised to procure their own insurance against any such occurrences.
